Types of information we collect

We currently collect and process the following information:

• Your name, address, email addresses and telephone numbers

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

• You have made an enquiry.
• You have requested a quote for a translation service.
• You are negotiating or have agreed a contract to provide a translation service,

We use the information that you have given us in order to provide the translation service you have requested and to meet our legal obligations to maintain proper business and tax records.

We may share this information with other professional linguists to allow revision and/or editing of the translation service you have requested. Where possible, information shared for these purposes will be minimised, anonymised or redacted.

We may share this information with third-party service providers to allow the translation service you have requested to be provided. All third-party data processing will be covered by contracts.

We will not share your information with any third parties for the purposes of direct marketing.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) We have a contractual obligation; and/or

(b) We have a legal obligation.

How we store personal information

We keep all quotes to provide a translation service for 6 months and all information for contracted translation services for 5 years after the work has been completed. We will then dispose your information by securely deleting both electronic and paper copies of your information.

Where we provide links to websites of other organisations, this privacy notice does not cover how that organisation processes personal information.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you. Please contact us at esther@estatranslation.com if you wish to make a request.
